What youโ€™ll be doing:

๐Ÿ“… Coordinating schedules for a mixed fleet of over 50 HGVs and commercial vehicles, ensuring all vehicles are available for daily routes and bookings

๐Ÿ—‚๏ธ Managing compliance: Keeping up-to-date records for MOTs, servicing, inspections, insurance, and driver documentation (licences, CPC, tacho cards)

 ๐Ÿ› ๏ธ Organising maintenance and repairs: Booking in regular servicing, breakdown repairs, and defect rectification with in-house workshop and external suppliers

๐Ÿค Liaising daily with drivers, workshop, and transport managers to track vehicle availability, report issues, and minimise downtime

๐Ÿ“ Handling all fleet-related admin: Data entry, document scanning, updating spreadsheets and fleet management systems (e.g., TMS, Telematics)

๐Ÿšš Supporting driver onboarding: Collecting and verifying right-to-work docs, uploading training records, and scheduling inductions

๐Ÿ“Š Monitoring fleet performance: Tracking KPIs such as utilisation, fuel efficiency, and downtime; reporting trends and flagging issues to management

โœ… Ensuring full compliance with DVSA, FORS, and company standardsโ€”preparing for audits and supporting internal reviews

What Weโ€™re Looking For:

๐Ÿข Experience in a busy transport office or fleet admin role (HGV background a big plus!)

๐Ÿ“š Working knowledge of UK/EU transport compliance (driver hours, Working Time Directive, vehicle inspections, etc.)

๐Ÿ—จ๏ธ Excellent organisational and communication skillsโ€”confident liaising with drivers, managers, and suppliers

๐Ÿ’ป Fluent with TMS, telematics, and MS Office (Excel, Word, Outlook)

โณ Able to juggle multiple priorities, manage deadlines, and stay calm under pressure

๐Ÿ” Detail-oriented, proactive, and solutions-focusedโ€”you spot problems before they become issues

 

Bonus Points For:

๐Ÿš› Understanding of HGV Class 1 operations and regulations

๐Ÿ“ฆ Experience with rental, contract hire, or mixed-use fleets

๐Ÿ… Familiarity with FORS, DVSA Earned Recognition, or similar accreditation schemes
