What youโll be doing:
๐ Coordinating schedules for a mixed fleet of over 50 HGVs and commercial vehicles, ensuring all vehicles are available for daily routes and bookings
๐๏ธ Managing compliance: Keeping up-to-date records for MOTs, servicing, inspections, insurance, and driver documentation (licences, CPC, tacho cards)
๐ ๏ธ Organising maintenance and repairs: Booking in regular servicing, breakdown repairs, and defect rectification with in-house workshop and external suppliers
๐ค Liaising daily with drivers, workshop, and transport managers to track vehicle availability, report issues, and minimise downtime
๐ Handling all fleet-related admin: Data entry, document scanning, updating spreadsheets and fleet management systems (e.g., TMS, Telematics)
๐ Supporting driver onboarding: Collecting and verifying right-to-work docs, uploading training records, and scheduling inductions
๐ Monitoring fleet performance: Tracking KPIs such as utilisation, fuel efficiency, and downtime; reporting trends and flagging issues to management
โ Ensuring full compliance with DVSA, FORS, and company standardsโpreparing for audits and supporting internal reviews
What Weโre Looking For:
๐ข Experience in a busy transport office or fleet admin role (HGV background a big plus!)
๐ Working knowledge of UK/EU transport compliance (driver hours, Working Time Directive, vehicle inspections, etc.)
๐จ๏ธ Excellent organisational and communication skillsโconfident liaising with drivers, managers, and suppliers
๐ป Fluent with TMS, telematics, and MS Office (Excel, Word, Outlook)
โณ Able to juggle multiple priorities, manage deadlines, and stay calm under pressure
๐ Detail-oriented, proactive, and solutions-focusedโyou spot problems before they become issues
Bonus Points For:
๐ Understanding of HGV Class 1 operations and regulations
๐ฆ Experience with rental, contract hire, or mixed-use fleets
๐ Familiarity with FORS, DVSA Earned Recognition, or similar accreditation schemes
